Privacy Policy

Spacial.Works (“Spacial.Works”, “we”, “our”) operates the website at spacial.works and a small private app used to manage tenants and billing for the office building at 6586 S Kenton St, Centennial, CO 80111. This policy explains what information we collect, how we use it, and the choices you have. We try to keep this short and honest.

Information we collect

From prospective tenants (visitors to the marketing site)

• When you submit the “Request a tour” form: your name, email, optionally phone, an office you're interested in, and any message you write.
• Standard server logs (IP address, user-agent, request time) retained by our hosting provider for operational and security purposes.

From current tenants

• Lease-related details we already keep on file (your name, business name, contact email, phone, office number, lease start/end, monthly rent).
• Invoice and payment history mirrored from QuickBooks Online (the system of record for billing).
• If we add a tenant portal in the future: anything you submit through it (maintenance requests, conference room bookings, contact updates).

Authentication

We use one-time email links (“magic links”) for sign-in. We do not ask for or store passwords. The only cookie we set is an encrypted session cookie after sign-in.

How we use your information

• To respond to tour requests and schedule visits.
• To send tenants invoice reminders, late-fee notices, and building-related notifications by email.
• To synchronize billing state with QuickBooks Online.
• To operate, maintain, and improve the site and app, including security and fraud prevention.
• To comply with legal obligations.

We do not sell your information, run advertising on the site, or share data with marketers.

Service providers (sub-processors)

We use a small number of third-party services to run the site and app. Each only sees the data it needs to perform its function:

• Vercel — hosts the website and app, processes server logs.
• Turso — operates the encrypted SQLite database where tenant and tour-request records live.
• Resend — sends transactional emails (sign-in links, tour confirmations, billing reminders).
• Intuit / QuickBooks Online — system of record for customer, invoice, and payment data, accessed via the QBO API.
• Cloudflare — DNS provider for spacial.works.

Data retention

Tour requests are retained for as long as we operate the building. Tenant records and invoices are retained for the duration of the lease and for any period required by tax, accounting, or legal obligations. You can ask us to delete records that are no longer required.

Security

Data is encrypted in transit (TLS) and at rest. QBO access tokens are encrypted at the application layer with AES-256-GCM before being written to the database. Only the building owners listed in the application's allowlist can sign in to the owner dashboard.

Your rights

You can ask us to:

• Tell you what information we hold about you.
• Correct anything that's wrong.
• Delete your information, subject to legal retention obligations.
• Stop sending you non-essential emails.

Children

The site and app are not directed to children under 13. We do not knowingly collect information from children under 13.

Changes

If we change this policy materially, we'll update the “Effective” date at the top and, where appropriate, notify current tenants by email.
